This Privacy Policy describes how Obviops collects, uses, discloses, and protects information from all users of the Platform, including SuperAdmins, Admins, Supervisors, Operations Leads, Asset Managers, Action Coordinators, and AppUsers. By accessing the Platform, you agree to the practices described in this Policy.

1. Our Commitment to Privacy

Obviops is committed to protecting the privacy and security of your personal and organizational data. We recognize that the information organizations store within the Platform, including personnel records, inspection data, asset information, and operational workflows, is sensitive and must be handled with care.

This Policy applies to both the Obviops Web Portal and Mobile Application. We adhere to applicable data protection laws and internationally recognized privacy standards, and we are transparent about the data we collect and how we use it to deliver our services.

2. Information We Collect

We collect information that is necessary to provide, operate, and improve Obviops. The categories of data we collect are as follows:

We collect each user's full name, job title, assigned role, email address, organization name, and department.

Records of inspections, schedules, asset info (QR codes), Take5 submissions, flags, issues, templates, and assignments.

3. How We Use Your Information

Obviops uses collected data strictly to operate and deliver the Platform and its features. We do not use your data for advertising, profiling, or any purpose unrelated to the provision of our services.

Authentication & Access

We use account data to verify credentials, assign roles, and enforce module-level access controls.

Core Operations

Operational data processes inspections, tracks assets, manages issues, and maintains critical audit records.

Scheduling & Alerts

Scheduling data tracks inspections and sends automated email reminders to AppUsers on due dates.

System Health

Technical data maintains availability, diagnoses issues, and optimizes performance and reliability.

4. Data Sharing and Disclosure

Obviops does not sell, rent, or trade your personal information to any third party. Data is shared only in the limited circumstances described below:

Within Your Organization

Data is visible to users within your organization in accordance with configured role-based access controls. Admins control access to all platform resources. SuperAdmins have system-level visibility for administration only.

Legal Requirements

We may disclose information if required by applicable law, court order, or regulatory authority. We will make reasonable efforts to notify affected organizations where permitted by law.

5. Your Rights

Depending on your jurisdiction, you may be entitled to certain rights regarding your personal data:

  • Right to request a copy of your personal data.
  • Right to request correction of inaccurate data.
  • Right to request deletion (subject to legal obligations).
  • Right to withdraw consent to processing.
  • Right to data portability in readable format.
  • Right to lodge a complaint with authorities.

The Obviops Web Portal uses only essential cookies required for authentication and session management.

We do not use advertising cookies, behavioral tracking cookies, or any third-party analytics cookies. Disabling cookies through your browser settings may affect the functionality of login and session management within the Web Portal.

8. Policy Updates

We may update this Privacy Policy from time to time to reflect changes to the Platform, our business practices, or applicable law. Where changes are material, we will notify you by email at least thirty days before the effective date of the updated Policy. Continued use of the Platform following the effective date constitutes acceptance of the revised Policy.
