Terms and Conditions

Agreement Governing Your Use of the Obviops Platform

Effective Date: January 1, 2025Version 1.0

Please read these Terms carefully before using Obviops. By creating an account or accessing any part of the Platform, you agree to be bound by this Agreement. If you do not agree, you must not use the Platform.

1. Agreement and Platform Description

These Terms and Conditions govern your access to and use of Obviops, including the Web Portal and Mobile Application. The Platform is a multi-tenant, subscription-based solution providing organizations with tools to manage inspections, assets, forms, schedules, flags, issues, and corrective actions.

By registering an account or accepting an invitation, you confirm that you have read and agree to these Terms. If you are acting on behalf of an organization, you represent that you have the authority to bind that organization to this Agreement.

2. User Roles and Responsibilities

Access to the Platform is governed by a role-based structure. Each user is assigned a role at the time of account creation and may access only those modules and functions permitted by that role.

SuperAdmin

Operates at the system level; responsible for creating organizations and managing subscription plans across all entities. Access is limited to the Web Portal.

Admin

Responsible for managing users, roles, sites, asset types, forms, and schedules within their organization. Approves corrective actions to resolve issues.

Web Portal Roles

Includes Supervisors, Operations Leads, Asset Managers, and Action Coordinators. Permissions per module are configurable by the Admin.

AppUser

Limited exclusively to the Mobile Application. Performs inspections by scanning QR codes and provides evidence for corrective action resolution.

3. Subscription Plans and Billing

Access to Obviops is governed by the subscription plan selected for your organization.

Plan Tiers

  • Basic: 5 submissions/month (Free)
  • Pro: 10 submissions/month (Paid)
  • Enterprise: Custom limits and flexible pricing

Overages

Up to two grace submissions are permitted. Additional submissions are charged at USD $2.99 each. Charges are tracked in your monthly billing records.

Service Availability

Inspection submissions are blocked immediately if a subscription expires. Organizations must maintain a current subscription for uninterrupted service.

4. Sites and Assets

Sites are created as either Active or Inactive and must be assigned a Site Supervisor. A site must exist on the Platform before an asset can be created within it.

Each asset is linked to an Asset Type, a Site, and a Form. A unique QR code is automatically generated for each asset upon creation. Asset Types include fields for Name, Category, Depreciation Method, Depreciation Rate, and Useful Life.

5. Forms and Inspection Scheduler

Admins and permitted roles may create, edit, and duplicate inspection forms linked to assets. Inspection schedules are created via the Web Portal with recurrence options (Daily, Weekly, Monthly, etc.).

Schedules may only be assigned to AppUsers. Inspection statuses include Scheduled, To-Do, Completed, and Overdue. Email reminders are sent to assigned AppUsers on the scheduled day of inspection.

6. Flags, Issues, and Actions

Flags are raised during inspections and are visible in the Web Portal. Each flag generates a corrective Action assigned to an AppUser (Technician).

Resolution Process

Evidence must be attached before an action can be submitted. Admin approval is required to mark it complete.

Automatic Updates

Approving an action automatically resolves the associated issue on the platform.

7. Acceptable Use

By using Obviops, you agree to adhere to all applicable safety regulations and industry standards. Prohibited activities include:

  • Submitting false or fraudulent data.
  • Circumventing subscription or access limits.
  • Sharing account credentials with others.
  • Attempting to reverse engineer the Platform.
  • Using the Platform for unlawful purposes.
  • Violating the 24-hour submission restriction.

8. Intellectual Property

All rights in Obviops remain the property of Obviops. You retain full ownership of all organizational data and inspection records. By using the Platform, you grant Obviops a limited license to process your data solely for the purpose of providing the services.

9. Limitation of Liability

Obviops is not liable for indirect, incidental, or consequential damages. The Platform does not substitute for professional safety assessment. You are solely responsible for how Platform outputs are used in your operational workflows.

10. Termination

You may terminate your subscription at any time. Obviops may suspend or terminate access for material breaches, non-payment, or unauthorized use. Your obligation to export data prior to the retention window expiry is not affected by termination.

11. Amendments

We may update these Terms and Conditions at any time. Material changes will be notified at least 30 days in advance. Continued use of the Platform constitutes acceptance of the revised Terms.
